Connect Your AI Assistant to Unit Trac

You can connect the AI assistant you already use, such as Claude or ChatGPT, to your Unit Trac account. Once it is connected you can ask it questions in plain English (“How much does John Stephens owe?”) and have it do everyday jobs for you, like recording a check. Unit Trac shows your assistant only what your own sign-in is allowed to see, and nothing that changes your books is saved until you say so.

It works with any assistant that can connect to an MCP server. MCP (the Model Context Protocol) is the open standard AI assistants use to work with other software. There is no extra charge from Unit Trac. You do need an assistant plan that allows custom connectors.

The address you will need

Every assistant asks for the same thing: the address of the Unit Trac connector.

https://www.unittrac.com/mcp

You will not be asked for an API key or a password in the assistant. You sign in to Unit Trac itself, as described below.

Connect Claude
  1. In Claude (on the web at claude.ai, or the desktop app), open Settings, then Connectors.
  2. Choose Add custom connector.
  3. Name it Unit Trac and paste the address above into the URL field. Choose Add.
  4. Choose Connect next to Unit Trac. A Unit Trac window opens: sign in and approve (see Sign in and approve below).
  5. In a new chat, make sure Unit Trac is switched on in the chat’s tools menu, then ask away.

On a Claude Team or Enterprise plan, an owner of your Claude organization may need to add the connector for the organization first. Each person then connects with their own Unit Trac sign-in.

Connect ChatGPT
  1. In ChatGPT, open Settings, then Apps & Connectors.
  2. Under Advanced settings, turn on Developer mode. ChatGPT needs this for connectors it does not list itself.
  3. Back in Apps & Connectors, choose Create. Name it Unit Trac, paste the address above as the server URL, and choose OAuth for authentication.
  4. Save it. A Unit Trac window opens: sign in and approve.
  5. In a new chat, turn on Unit Trac from the chat’s tools menu, then ask away.
Other assistants

Look in your assistant’s settings for connectors, integrations, tools or MCP servers, and add a remote server with the address above. Choose OAuth if it asks how to sign in.

Claude and ChatGPT move their settings from time to time, so the menu names above may be a little different on your screen.

Sign in and approve

When you connect, a Unit Trac page opens in your browser:

  1. Sign in with your usual Unit Trac email and password. Two-step sign-in still applies.
  2. Read the approval screen. It names the assistant asking to connect and lists exactly what it will be able to do with your account.
  3. Choose Allow access. If you choose Deny, nothing is connected.

Your assistant never sees your Unit Trac password, and it never sees saved card or bank account numbers.

Good to know
  • It follows your access. The assistant can see and do only what your Unit Trac role allows, at the facilities you can see. An employee who cannot delete a payment in Unit Trac cannot do it through an assistant either. Each person connects with their own sign-in.
  • More than one business? If your sign-in covers several businesses, the assistant will ask which one you mean, or you can name it in your question.
  • Changes are previewed first. Before it records a payment, changes a charge or ends a lease, the assistant shows you exactly what will happen: balances before and after, and the new paid-through date. Nothing is saved until you tell it to go ahead.
  • Everything is recorded. Changes made through your assistant appear in your Activity History, just like changes made in Unit Trac.
  • Turning it off. Remove the Unit Trac connector from your assistant’s settings. Changing someone’s role, or removing them from your business, takes effect right away.
Things to try

Talk to it the way you would talk to a coworker. A few ideas:

  • “I have a check for Bob Miller’s unit for $100, check number 1042. Can you record it for me?”
  • “How much does John Stephens owe, and what is he paid through?”
  • “I got three checks today: $85 from Sarah Lopez, $120 from Dan Ortiz and $65 from the Wilsons. Record them all.”
  • “Who owes us money at the Main Street facility? Sort them by the biggest balance.”
  • “What 10x10 units do we have open right now, and what do they rent for?”
  • “What was our income last month, and what rent are we expecting over the next three months?”
  • “What is our occupancy across all our facilities?”
  • “Show me everything Maria Chen was charged and paid this year.”
  • “The late fee on Mike Turner’s account should have been $15, not $25. Please fix it.”
  • “I entered Lisa Park’s cash payment twice yesterday. Delete the duplicate.”
  • “Tom Reed moved out of unit B-14 on Friday. End his lease.”
  • “Which customers have missing rent charges or other accounting problems?”
  • “How do I set up a late fee schedule in Unit Trac?” It answers from our help articles and tells you which ones it used.

Asked for something it can’t do yet? It will say so and pass your request along to our product team, so keep the ideas coming.

Common questions
  • Can it charge a customer’s card? No. It records payments you have already received by check, cash or money order. Card and bank payments are taken in Unit Trac as usual.
  • It says it can’t find Unit Trac. Make sure the connector is switched on for the chat you are in. Most assistants turn connectors on per chat.
  • It was asked to sign in again. That is normal now and then. Sign in and approve again; nothing is lost.
  • It says it isn’t allowed to do something. Your Unit Trac role doesn’t allow that action. Ask the owner of your account to change your role if you need it.
