QuickBooks integration

Your books, already done.

The payments you take in Unit Trac land in QuickBooks, sorted into your own accounts. No retyping. No month-end catch-up.

  • QuickBooks Online
  • QuickBooks Desktop
  • Included with every account

Five payments sent one at a time, each added to the October rental income total.

You have been typing your deposits twice.

Once when the rent comes in, and again when you do the books. The second time is the one Unit Trac takes off your hands.

Unit Trac is self-storage software with QuickBooks integration included. See how it fits with Easy Accounting.

What lands in QuickBooks

Bank deposits

One deposit for each payment, into the bank account you choose, split by what was paid for. The simple, direct choice.

Sales receipts

One sales receipt for each payment, with a line for every charge, the sales tax and the card processing fee, into Undeposited Funds or a bank account. Because the fee is on the receipt, what lands matches what reaches your bank. The tenant and unit go in the memo, not a customer record.

How card fees work in Payment Processing

Setup

Three steps, once.

  1. 01

    Connect.

Sign in to QuickBooks from inside Unit Trac and approve the connection. No files, no passwords shared.

  2. 02

    Choose how to book it.

Bank deposits or sales receipts. Pick the one that fits how you keep your books.

  3. 03

    Match your accounts.

Unit Trac reads your accounts from QuickBooks and you pick where each kind of income goes.

Unit Trac never adds accounts or products to your QuickBooks. You pick from the ones that are already there.

You are in charge

Nothing moves until you say so.

Send everything since the last sync, choose your own dates, or pick the payments one by one.

Illustration: the Sync to QuickBooks Online screen. Six payments are listed. Five are ticked and one is marked already sent, and one button sends the five ticked payments, $498.00 in all.

  • Everything since your last sync, or any dates you choose.
  • Pick single payments, or leave some out.
  • Filter by card, bank, check or cash.
  • Payments you have already sent are marked, so nothing goes twice by accident.

History

A receipt for every sync.

Each sync keeps a list of the payments it sent, with a result for every one and a link that opens the entry in QuickBooks. If one could not be sent, it says why.

Desktop and Excel

No cloud? No problem.

QuickBooks Desktop

Download a Web Connect file for any range of dates and open it in QuickBooks Desktop. Import the same dates twice and QuickBooks skips what it already has.

Excel

Prefer a spreadsheet, or use other accounting software? Download the same payments as an Excel file. More in Reporting.

Illustrations: a .QBO file for Oct 1 to Oct 31 drops into QuickBooks Desktop and a second copy of the same dates is skipped as already imported; an .XLSX file opens into four columns of payments.

Good to know

  • It sends payments. It does not copy your tenants, invoices or expenses into QuickBooks, so your customer list there stays clean. Each sales receipt carries the tenant's name and unit in its memo.
  • You start each sync. It does not run on a schedule yet.
  • QuickBooks will ask you to reconnect from time to time. Unit Trac tells you when.

Questions

QuickBooks Online connects directly. QuickBooks Desktop uses a Web Connect file that you download and open.

No. You choose from the accounts and products you already have, and Unit Trac never adds to them.

Payments. Each one becomes a bank deposit or a sales receipt, depending on the mode you pick.

In sales receipts mode the fee is its own line on the receipt, so the amount that lands matches what reaches your bank.

Yes. Choose dates, filter by how the tenant paid, or tick the payments one by one.

"Since last sync" only sends what is new. When you choose your own dates, payments you have already sent are marked before you send.

Not yet. You press Sync now when you are ready.

Unit Trac connects to QuickBooks. For anything else, download your payments as an Excel file.

No. QuickBooks sync is included with every Unit Trac account.

Close the books before lunch.
